Contact privacy notice

This notice explains what happens when you use the HEVU website contact form. It covers your enquiry, not the business documents you keep in the desktop application. One English version applies to this form across website languages.

What we collect and why

Contact details and messageYour name, email address and the text you choose to send are used to understand your enquiry and reply. General enquiries are handled on the basis of legitimate interests in responding to people who contact HEVU (GDPR Article 6(1)(f)). Where you ask us to take steps towards a contract with you, Article 6(1)(b) applies.
Spam preventionA necessary session cookie, a temporary calculation challenge, request timing and a hashed network address help prevent forged requests and excessive submissions. This serves our legitimate interest in protecting the service (Article 6(1)(f)). Hashing does not make these identifiers anonymous.
Privacy acknowledgementYour message records the version of this notice you acknowledged. The checkbox confirms that you have read the notice. It is not permission for advertising, newsletters or unrelated use.

The name, email, message and bot check are required to submit this form. You may contact the email address above directly instead. Please do not send passwords, license keys, health information or your customers’ personal data.

Where the enquiry goes

The website passes your enquiry through its configured email service. The form does not create a separate database record of the message. The controller and the hosting and email providers involved in transmission or storage can process the enquiry to provide these services. The recipient mailbox uses Google Gmail. We do not sell contact enquiries or publish them.

Email services can process data outside the European Economic Area. Google describes its use of adequacy decisions, the EU–US Data Privacy Framework and standard contractual clauses in its international transfer information. You can request further information about the providers and applicable safeguards from the controller. We do not promise that email remains exclusively within the EU.

How long data is kept

Enquiry correspondence is kept while the enquiry is active and for up to six months after it is resolved, then deleted from the controller’s mailbox. If it becomes necessary for a contract, a legal obligation or a legal claim, relevant records may be retained for that purpose and its applicable retention period. This is a mailbox management policy; the website cannot automatically delete messages from Gmail.

The form challenge expires after 30 minutes and is consumed on submission. Abuse-prevention counters use a rolling one-hour window; expired entries are removed when the next form submission is processed. The hosting provider may retain ordinary access and security logs under its own retention arrangements. Provider backup deletion follows the provider’s retention cycle.

Your rights

Depending on the applicable legal basis and circumstances, you may request access, correction, deletion, restriction or a portable copy of your personal data. You may object to processing based on legitimate interests for reasons relating to your situation. Contact the controller at the address above; we normally respond within one month, subject to the GDPR’s permitted extensions. Identity verification may be needed to avoid disclosing your information to someone else.

You may complain to a data protection authority, including the Hungarian National Authority for Data Protection and Freedom of Information (NAIH), or the authority where you live or work. See the European Commission’s explanation of your rights.

The contact form does not make decisions producing legal or similarly significant effects about you and is not used for marketing profiling. The simple bot and rate checks only protect form submission.
